Job Summary
The Orphan Sponsorship Coordinator manages the full lifecycle of individual and GRF-funded orphan sponsorships. Responsibilities include donor management, data entry, payment monitoring, communication with Finance and Implementation Partners (IPs), and maintaining accurate documentation.
Key Responsibilities
Individual Donor Sponsorships
- Handle incoming sponsorship enquiries and support donor onboarding.
- Create and update donor and orphan records in CRM databases.
- Ensure sponsorship information is accurate and organised.
- Monitor payments and report overdue payments.
- Provide email and phone support to donors professionally.
GRF-Funded Sponsorships
- Assist in preparing sponsorship agreements and documentation.
- Support payment wallet preparation and approval submissions.
- Track payment statuses and maintain proper filing.
Documentation & Reporting
- Maintain organised digital filing systems.
- Assist with generating reports for the Programmes Team.
- Support internal audits as required.
Donor Support & Communication
- Respond to donor queries promptly.
- Share updates while maintaining confidentiality.
- Help maintain positive donor relationships.
Coordination & Internal Support
- Coordinate with Programme, Finance, and IP teams.
- Maintain accurate sponsorship documentation.
- Escalate issues to the Operations/Programme Manager.
Compliance & Data Protection
- Ensure safeguarding & GDPR compliance.
- Follow internal SOPs and confidentiality guidelines.
Skills & Competencies
- Strong organisational and administrative skills.
- Excellent communication and donor-facing abilities.
- High attention to detail and accuracy.
- Strong IT skills including Excel and CRM platforms.
- Ability to manage sensitive information with discretion.
- Problem-solving and ability to follow structured processes.
Qualifications & Experience
Essential:
- Experience in donor management, customer service, or administration.
- Strong IT, Excel, and CRM skills.
- Experience with data entry and process-driven work.
Desirable:
- Experience in humanitarian or charitable organisations.
- Knowledge of sponsorship models.
- Experience working with Implementation Partners.
